Screen #1 Set Up
Randomize: The
randomize feature allows each of your messages to be different. If an ISP
recognizes that you are sending thousands of messages
with the same To, From, and Subject fields, their
incoming mail servers can filter out your message.
Randomize adds random characters after the text that
you put into that field and it changes each field.
Advanced settings: "Limit batch size to"
means the number people in a single group that will receive the
letter. (bcc) It sends your message to a specified
number of people at once without all recipient's names
appearing up on the letter. The higher the number
the quicker it will send.
Tip: Some incoming
mail servers have a maximum batch size that it will receive. Try to keep
the batch
under 20 you should be successful in getting
through to incoming servers almost anywhere.
"Send message as HTML" box: when you create
a message, it will allow you to use color and a few
other HTML features. You can only use this feature
to send to non-AOL accounts. This box must be
checked if you want to use HTML feature.
Network Configuration:
"Enable Socks 4 Proxy" This function is for use only with a dedicated
connection to the Internet such as ISDN, T-1 or
T-3. If you are using a modem, please leave this box
unchecked and ignore "Proxy Server" or "Port" because
it does not apply to you.
Domain Name Server(DNS):
You must enter your ISP's Domain name server. This server name is
a number, it will look like 123.456.78.9. You will
obtain it by going to your desktop and double
clicking "My Computer", then double click on your
"Dial Up Networking" folder. In here you will find
icon that indicates your dial up account for your
ISP. Put your mouse on this icon and press your right
mouse button. Scroll down to "Properties" In the
box there is a button that says "Server Types" click on
it and the next box there is a button for your "TCP/IP
Settings" click on it. In the middle of the page you
should see "Primary DNS Address". You have found
it. If you have no number in the box you will need to
call your isp and ask them for it.
"This server times out in" box: This function
is used when verifying all of the domains in your mailing list.
The program looks up each domain to check for Validity.
This is the amount of time it will give a server to
respond. If the server does not respond in the specified
time (default is 2). The higher you set your time out
value the longer it takes to verify your list.
Message Personalization
Options: When you choose this feature, your recipients name
can appear in the body of your
message. EXPRESS MAIL will extract the recipients
name before the @ symbol in the e-mail address. So
if the e-mail addresses reads jobob@msn.com, the
personalize feature will add jobob in the body of your
letter. You will type $Name (capitalize the N) and
when you send your message "$Name" will be replaced
with the recipient name. If you choose personalize,
set it up like this: "Hello $Name". Also, you can
insert the recipients name ($Name) as often as you
like, within the body of your message. In addition to the
message body you may also insert the $Name into
the message subject.
Screen #2 This is where you add your lists. EMS automatically checks validity BEFORE it sends your message.

In this step you import your recipients list. Your mailing list must be a text document with one address per
line. Click on the "Add Recipients" button. A box will come up that asks you to select your list. Most likely
you are selecting a text file. NOTE: The program defaults to "Mailing lists (*.ml) file type, you need to change this.
Go down to the "files of type" field and press the drop down arrow on the right side. Scroll down and
select "Text files" (*.txt). Once you select this, browse your files to locate the mailing list you want to use.Remember: Your LIST of email addresses MUST be a text file, one email address per line.
Once the addresses are imported, the program begins to verify all of the domains for validity. When it comes
across a bad domain, it discards it, along with all of the addresses associated with it. You will see Express
Mail counting down the number of verified addresses. The process can be time consuming with big mailing
lists but it saves tons of time during the sending process. Tip: Your DNS number must be correct for this to work.After the verification process is done, you will see the results under "Project Database Statistics" box.
This will tell you how many addresses you have going to valid domains and it tell you how many servers are
available for incoming mail.
Screen#3 Load your MESSAGE, fill in your FROM (hit Enter after doing this), REPLY TO, and SUBJECT fields. "To" field filled in automatically for each mailing. Cool options here, too.

In the "To" field you will enter a name or description such as; subscribers, customers, people, list (anything will do).
The software attaches the @theirdomain. For example, if you type in "customer", when that mail gets to the
recipient, the software will add the domain it is going to. So if that piece of mail was going to the msn
domain the mail would read "customer@msn.com".The "From" field is what you want to appear in the message to indicate where it originated from.
***IMPORTANT: You MUST Hit the ENTER Key after you type the email address in the FROM Field to 'set' it or you'll get an ERROR and will NOT work*** Not Doing This is the MOST COMMON MISTAKE people make.
The "Reply-To" field is the address that the recipient will reply to if he hits his reply button the send a
message back to you. The "Subject" field is where you type in the subject of your message.The message box allows you to enter HTML. You will be able to send messages with bullets, bold, italic
underline, align left right or center and color! The first drop down box changes font color, the second
changes background color. The HTML box in "Setup" must be check in order for it to send your message
in HTML. TIP: HTML can't be sent into AOL because AOL's e-mail will not accept HTML. New browsers can read
html and a few of the older ones can. If you want to be sure that the mail gets through to absolutely
everyone, then don't use any color or html.
Screen#4 SEND MAIL: Just finishing up a mailing here, you can SEE what gets delivered.
When you enter this screen you will notice two new
buttons pop up on your menu bar (on the left). The
"send mail" button starts sending your list of e-mail.
It will list all of the servers that it is mailing to and show
the status on each batch being sent to each domain.
Tip: Don't be afraid to experiment with different techniques and functions. Run test mailings to your self and see what works best for you BEFORE you send out to a REAL list.
